How to resolve an employee’s email problem?

Customer Scenario: Employee X says his email login does not work today. It has worked OK for months until today. A standard POP error message is being displayed to the Employee by Outlook:

There was a problem logging onto your mail server. Your Password was rejected. Account: ‘mail.companydomain.com’, Server: ‘mail.companydomain.com’, Protocol: POP3, Server Response: ‘-ERR [AUTH] Password supplied for “marl” is incorrect.’, Port: 110, Secure(SSL): No, Server Error: 0x800CCC90, Error Number: 0x800CCC92.

Employee X is certain that he has not changed his password for a while. The Employee’s error message is of no help. The Employee presumes the network or server must be down. By running AppDancer/FA, the IT staff finds the problem right away. ERR [SYS/TEMP] Unable to copy mail spool file, quota exceeded
